Role Overview The Administration Assistant provides essential administrative support to the Service Manager and local management, ensuring effective record-keeping and compliance with all required processes within the residential service. This role must be performed in alignment with Cheshire Ireland’s values, operational ethos, and standards. Duties & Responsibilities General Administrative Support • Manage all external telephone and mail communications on behalf of the Service Manager. • Provide administrative support, including letter writing, minute-taking, and report preparation. • Develop and maintain efficient records management and filing systems in line with Cheshire Ireland policies and procedures. • Assist with fundraising activities, initiatives, and community integration efforts. • Ensure regular maintenance and management of office-related equipment and supplies. • Support volunteer coordination. • Work collaboratively and effectively with other staff members. • Develop open, honest, and respectful relationships with colleagues and foster positive team relationships. • Handle all information with confidentiality. • Manage ad-hoc requests and general inquiries. HR Administration • Upload and maintain rosters on SOFTWORKS, update attendance records, and resolve anomalies. • Run fortnightly payroll reports and liaise with payroll and HR departments to address any issues. • Provide administrative support for recruitment, employee documentation, contract changes, and staff onboarding/offboarding, ensuring timely communication with relevant departments. Finance Support • Process service-related invoices and bill payments through the purchase order system. • Assist with invoicing and managing payments from individuals receiving services. • Support local personnel with expense processing queries. Communication (Written & Verbal) • Communicate effectively with the Service Manager, Cheshire Ireland colleagues, individuals receiving services, and external stakeholders. • Ensure professional and appropriate verbal and written communication on behalf of the service. • Maintain confidentiality when handling sensitive information. Compliance & Confidentiality • Adhere to all Cheshire Ireland policies, procedures, codes of conduct, and training while performing duties. • Maintain strict confidentiality regarding individuals receiving services. • Share and disclose information only through agreed-upon procedures or supervisory instructions. • Seek guidance from the line manager on matters related to confidentiality and disclosure. Health & Safety • Comply with all Health & Safety policies, procedures, and codes of conduct. • Maintain and update Health & Safety records. • Assist the Service Manager in managing Health & Safety aspects within the service. Youthreach Resource Person
Job Description – Youthreach Resource Person Reporting /Accountability Candidates will be accountable to Donegal ETB’s Youthreach Centre Co-ordinator/Adult Education Officer/Director of FET for the duties in so far as they relate to the role of Youthreach Resource Person. Post Summary: The role of the Youthreach Resource Person is to be responsible, on a day to day basis for: - ● providing teaching and learning in their specialised subject areas, as per the Vacancy Notice, and provide substitution as may sometimes be required for other modules from time to time, based on the needs of the centre. ● providing administrative support as appropriate, to the needs of the centre and programme, throughout the academic year. ● assess students’ learning needs, design and implement programme plans based on these individual needs. ● engage with the planning, implementation and evaluation of the programme at classroom and centre level and maintain a positive and co-operative working relationship with Centre Manager, other members of staff, students and the wider community. Duties: The Youthreach Resource Person will work with the Centre Co-ordinator and the staff team to: 1. Provide support to the Centre Manager on a day to day basis in delivering the FET provision in the centre. 2. Complete the administrative duties relevant to the post, including the maintenance of records and the provision of reports as required, and other duties as directed 3. Produce high quality work-related written reports/documents as requested. 4. Participate in direct class contact in keeping with Programme needs as required. 5. Work with centre management to ensure effective planning, delivery and evaluation of appropriate responses to education and training needs, including the identification and implementation of indicators for education and training outcomes for learners. 6. Develop, deliver and monitor relevant curriculum to agreed Quality Assurance standards in collaboration with the Donegal ETB’s Quality Assurance Support Services . 7. Assess and monitor student course work and supervise student work experience for development and certification purposes. 8. Ensure that the centre meets the statutory requirements set down by QQI and other certification providers, e.g. Quality Assurance, Programme Validation and Learner Assessment. 9. Ensure that a high standard of discipline is maintained by all learners. 10. Conduct interviews of trainees to assess suitability for the Programme. 11. Establish and maintain relationships based on partnership and co-operation with local schools, Further Education and Training Centres, statutory and voluntary agencies and employers. 12. Assist in the implementation of a comprehensive and relevant Centre Development Plan for the Youthreach Programme. 13. Participate fully in the internal evaluation process as set out in the Youthreach Quality Framework. 14. Contribute to the development of Health & Safety policies and procedures and implement these in ways that promote the health, safety, welfare and wellbeing of Youthreach learners, staff and visitors. 15. Participate in relevant training opportunities and work activities to enhance his/her own professional development, on an on-going basis. 16. Provide locally agreed substitution cover for absent staff and supervise trainees as necessary. 17. Deputise when necessary for the Centre Manager. 18. Perform other job-related tasks, as may be assigned from time to time by the Centre Co-ordinator, Adult Education Officer, Director of FET Services and the Chief Executive.
