The Archives Assistant will be part of a team of information professionals working collaboratively and on self-directed projects. The post holder may be asked to deliver the following tasks: archive appraisal, an inventory of items, rehousing materials in preservation-standard storage, selecting material for digitisation, archival description to catalogue and shape the collections for future access and curatorial intervention, and shared team tasks as allocated by the Assistant Manager. The position requires a passion and enthusiasm for archival practice, metadata and the application of digital technologies to archival resources. The post holder will have demonstrable experience of working with a team, completing cataloguing projects and of cataloguing a variety of types of records in the subject areas of art and design. Salary: Grade IV : €37,218-€53,301 per annum. Appointment will be made on an appropriate scale and in accordance with the Department of Finance guidelines. Operations Co-ordinator
KEY PURPOSE OF ROLE As a member of the Dundonald International Ice Bowl Management Team, the postholder will report to the Operations Manager and be responsible for: • Coordinating the deployment of Senior Recreation Assistants & Recreation Assistants within Dundonald International Ice Bowl in accordance with Council strategies, policies and budgets. • The supervision of all functions within the Centre and Dundonald Touring Caravan Park - supervising and co-ordinating all staff and ensuring that an efficient and effective service is delivered to all members of the public. • Assisting the Operations Manager in the effective and efficient management of Dundonald International Ice Bowl. In line with corporate objectives, coordinate activities within the centre to include the approach to best value, the application of business improvement, financial planning and staff development. • Liaising with contracted cleaning, security and caretaking companies to ensure the availability and provision of high quality, well maintained, clean and safe, facilities and equipment to support the operational programme of the Dundonald International Ice Bowl, grounds and Caravan Park. • Acting as a manager on duty for the facility within the agreed rota. • Undertaking any other appropriate duties as may be assigned by the Operations Manager, including cover for sickness, leave or staff vacancies and deputising for the Operations Manager as required. KEY RESPONSIBILITIES 1. Devise employee rotas for Senior Recreation Assistants, Recreation Assistants and other employees to ensure that adequate provision is made to meet customer demand whilst remaining within designated budgetary provision. Ensure employee rotas comply with Normal Operating Procedures and Emergency Action Plans and support the operational programme. 2. Develop and integrate the Vitality Household Programme and establish it as the main income and participation driver within Dundonald International Ice Bowl including the productive implementation of Legend Leisure Management software. 3. Assist the Operations Manager in planning and managing change - support the development of the facility through the submission of business cases and associated reports. 4. Assist the Resource & Administration Manager in preparing and submit quotes and tenders and evaluating the submissions to procure goods and services for the centre. 5. Line manage and supervise allocated employees ensuring consistent application and implementation of all Human Resources and Council policies and procedures. In consultation with the Operations Manager, create, design & implement procedures and work instructions, and develop sound working practices for operational staff. 6. Coordinate and administer all HR employee relation issues, policies and procedures and participate in recruitment and selection of staff. Schedule Senior Recreation Assistants, Recreation Assistants) leave in accordance with the requirements of the operational programme of the Centre. 7. Assist with identifying methods of increasing revenue streams and create and implement business plans to meet targets. In conjunction with the Operations Manager, prepare and review annual estimates on income and expenditure and manage and deliver on agreed financial targets. Provide information to the marketing officer to enable the formation of the centre marketing plan. 8. Assist the Operations Manager in liaising with the Plant Manager, and external contractors to ensure facilities and equipment are maintained to support the ongoing operation of Dundonald International Ice Bowl and cause minimum disruption for customers. 9. Coordinate identified and approved training activities for Senior Recreation Assistants and Recreation Assistants in consultation with Human Resources. Oversee the training programme, its content and monitor the implementation of training programmes for those employees. 10. Assist the Operations Manager in the preparation of Annual Estimates of income and expenditure and monitor these against performance. Provide reports for the Operations Manager as required. 11.Assist the Operations Manager in working with franchisees, contractors and consultants to support the effective, efficient and economic day to day operation of the centre. 12. Participate in cross departmental and interdepartmental working groups and meetings to develop new policies, facilities, activities and programmes. 13. As Designated Officer act in accordance with the Child Protection and Vulnerable Adults Policy ensuring all confidential issues are dealt with in a sensitive manner. 14. Help ensure that the very highest standards of health and safety for both customers and staff are maintained at all times and that all relevant statutory health and safety requirements and Council health and safety policies, procedures and work instructions are adhered to at all times. 15.Liaise with officers in Sport Services and other Council Departments to support the effective, efficient and economic operation of the Centre in line with Council policies and procedures and maintain high standards of customer care throughout the facility. 16. Liaise with staff from other Council departments, external contractors, consultants and customers regarding operational issues such as special events, bookings, Clubs and Associations. 17. Promote equality of opportunity and access in service delivery and in the employment of staff through the mainstreaming of equality within the Council. 18. Ensure the provision of high standards of customer care across the services provided by the Unit. 19. Promote and manage the service effectively and communicate in a way which enhances and promotes the public image and overall reputation of the Council. Person Specification – Operations Co-Ordinator Essential Criteria Method of Qualifications and Experience It is essential that applicants have a minimum of: QUAILIFICATIONS 1.1 – Two A-levels grades A-C, NVQ Level 3 or equivalent. EXPERIENCE 1.2 - Three years’ relevant supervisory experience in a leisure facility to include: • Line managing a team of employees • Developing and implementing operational procedures • Setting work schedules • Operational responsibility for Health and Safety Where applicants do not hold the qualifications as outlined in 1.1 above, they must demonstrate a minimum of five years’ experience as outlined in 1.2 above. Experience 1.3 - It is essential that applicants hold a full (i.e. not provisional) and current UK driving licence and access to a car or have access to a means of transport which would enable the applicant to carry out the duties of the post. Desirable Criteria Experience 1.4- Experience of operating quality models such as Customer Excellence. Knowledge 1.5- A basic knowledge of First Aid.
