School Secretary
Role Summary The role of the School Secretary is crucial for the smooth and effective operation of the school . The Secretary is often the central point of contact for the school, and the role requires the candidate to be a team member, with an ability to deal with multiple competing demands in a professional and courteous manner. The Secretary must also possess an ability to adapt to new technologies and procedures in a rapidly changing educational environment. The Secretary is a vital element of the school community, supporting the administrative function, the School’s Senior Leadership Team, teachers and students, facilitating communication and enabling the school to focus on excellence in teaching and learning. Key Duties and Responsibilities The main duties associated with the role (in addition to other duties that may be assigned from time to time by the Principal) include · Support the Principal, Deputy Principal, teaching staff and students, · Managing the front office and queries of parents, staff, students and all visitors to the school, · Deal with other organisations such as e.g. DE, SEC, TUSLA, EWO, HSE, · Managing the telephone, office email and PA system, including distribution of messages, · Opening and distributing the post and attend to all deliveries, · Manage the school filing system, · Input and updates of data on the School Management systems, · Resetting parental passwords and training parents on how to log in to the School Management system, · Prepare various correspondence such as emails, letters etc, · Registering International students, invoicing their agents and co-ordinating their accreditation, · Managing part time staff on DCS package, · Daily operation of Timetabler package for substitution, · Managing the school’s online payments system, Way to Pay, reconciling receipts and liaising with the Finance Department, · Accounts work, including liaising with suppliers and the ETB support staff, · Photocopying, laminating, binding and printing, · Coordination of the ordering of school supplies with a working knowledge of the procurement framework and procurement systems, · Managing supplies and resources to ensure that the school runs efficiently, · Assist with applications for school places and enrolments, · Assist with the organising of school events and activities including ordering buses for tours, · Updating noticeboards and the school website · Operate and manage all office systems · Manage payment of school fees This is not intended to be a comprehensive list of all duties involved and consequently, the successful candidate may be required to perform other duties as appropriate to the post. Terms and Conditions for a School Secretary Post in the ETB Sector Starting Salary: Applicants should note that the starting salary will be at the minimum of the appropriate pay-scale and will not be subject to negotiation. Previous public sector experience in the same grade may be eligible for incremental credit. This will be determined upon appointment. Current Salary Scale: €29,811 – €46,946 (Full time equivalent) Important notice regarding salary As per Sectoral guidelines, new appointees who are entering this grade for the first time will start at the minimum point of the scale. Incremental credit may only apply, if, immediately prior to appointment, the appointee is already a serving member of another relevant public sector education or training or community services. The rate of remuneration may be adjusted from time to time in line with Government pay policy. Please note that the starting salary is not subject to negotiation. Place of Work Place of work will initially be based in Coláiste Mhuire Co-Ed, Castlemeadows, Thurles, Co. Tipperary. This is subject to change in line with the organisational needs of Tipperary ETB. Hours of work 17.5 hours per week. Annual Leave A School Secretary will be entitled to 22 days annual leave, excluding public holidays. Travel and Subsistence Allowances in respect of travelling and subsistence will be payable in respect of approved journeys. Superannuatio n The successful candidate will be offered the appropriate superannuation terms and conditions as prevailing in the Civil/Public Service at the time of being offered an appointment. In general, an appointee who has never worked in the Public Service will be offered appointment based on membership of the Single Public Service Pension Scheme (“Single Scheme”). Where the appointee has worked in a pensionable (non-Single Scheme terms) public service job in the 26 weeks prior to appointment or is currently on a career break or special leave with/without pay different terms may apply.
