The Quality Enhancement Office (QEO) The role of the Quality Enhancement Office (QEO) is to support the implementation of the RCSI Quality Framework by coordinating activities and collecting the data needed to allow us to continually assure and develop the quality of all aspects of RCSI’s provision. The main activities of the QEO are coordination of RCSI’s engagement with external quality assurance requirements; management of internal quality reviews; collection and analysis of regular and bespoke survey data; promotion of quality enhancement activity. The QEO engages with colleagues in all RCSI schools, faculties, professional support departments and internationally to deliver on these activities. The objective of this post is to proactively provide a high-quality administrative support service to the Quality Enhancement Office. The postholder will report to the Head of the QEO but will also be directed by their nominee(s). Specifically, the duties of the post are: Quality Evaluations and Surveys Coordinating the accurate deployment of surveys in line with the survey calendar. Creating, updating, testing and meticulously proofreading surveys within the online survey platform. Checking survey progress and managing survey reminders to maximise engagement from participants. Supporting survey report generation e.g. downloading survey data, supporting open-ended comment analysis, data cleaning. Liaising with other departments and class reps/Students Unions in relation to survey content approval and to support survey promotion. Supporting promotional activities around surveys e.g. creating promotional materials (posters, social media content) and participating in survey-related events. Quality Reviews Providing administrative support in the planning, delivery and implementation of the RCSI cycle of internal quality reviews. Supporting quality review processes including: Liaising with the school/department undergoing review in the coordination of review activities. Planning and coordination of review logistics to include site-visit schedules, venue bookings, catering and technical requirements. Liaising with Review Group members to coordinate their logistical requirements for travel, accommodation, expenses and payments. Managing and preparing review documentation and presentations including proofing/formatting documentation and supporting the design process. Coordinating site-visit activities to include securing relevant stakeholders for review processes, managing diary invitations and preparing participant name plates and information. General Establishing effective working relationships with key stakeholders internally and externally to ensure full buy-in and implementation of quality initiatives. Supporting the development and maintenance of quality enhancement initiatives including thematic analysis of review outcomes; quality improvement planning processes, case study development and the RCSI Annual Quality Forum. Preparing, reviewing, updating quality-related documentation related to the position as required. Scheduling, attending and keeping records and minutes of meetings as required. Creating and maintaining filing systems. Supporting RCSI’s engagement with external quality requirements. Being flexible and responsive to colleagues and stakeholders. Complying with statutory legislation and department rules and requirements in furtherance of your own and general staff welfare and safety. Undergoing programmes of training and development as may be required from time to time. Representing the best interests of RCSI and the QEO Office at all times. General administrative duties. Performing other duties as may be required. Knowledge & Experience: The successful candidate will ideally possess and demonstrate the following: Strong organisational and administrative skills. Excellent attention to detail. Strong interpersonal and influencing skills. Excellent written and spoken English. Strong IT skills (including MS Office Suite) and ability to rapidly upskill on IT systems. The ability to focus on and produce results and prioritise objectives. An ability to work on multiple projects simultaneously. Ability to seek and find ways to enhance processes and procedures. The capacity to work independently and yet seek input to make decisions and meet deadlines. The ability to work on one’s own initiative as well as in a team environment. Willingness to work flexibly with and responsively to colleagues and tasks. Experience and a proven track record in a similar role would be an advantage but is not a requirement.
