Workplace Facilities' Co-Ordinator

We are seeking a dedicated Workplace Facilities Coordinator to join our team. In this role, you will play a pivotal part in ensuring that our workplace operates seamlessly, assisting the Workplace team in delivering services and thus, enabling the business to carry out their business activities in a safe comfortable, productive, and cost-effective environment. What you’ll be doing:

Our Workplace team is often the first point of contact for our employees, customers and visitors, reporting into the Workplace Client Service Delivery Manager, your main responsibilities will include;

· Being familiar with the relevant deliverables of all third-party suppliers and directly delivered services to Workplace.

· Ensuring all works delivery by third parties are in line with that which has been agreed.

· Assist third parties in any support or assistance required to enable them to delivery on their responsibilities.

· Co-ordination as required so all services are delivered to the agreed standard.

· Be a point of escalation to the business if service delivery is not as expected or agreed.

· Assist Health & Safety/ Security Officers to ensure health and safety standards are met for the protection of all AXA Ireland staff and customers and provide preventative maintenance and health & safety information support for employees.

· Manage and maintain all RAMS, PTW and associated contractor documentation for all works on locations in your area.

· Process all related PO,s, invoices and accruals for services as required within Workplace.

· Takes on ad hoc tasks or projects as requested by your line manager.

Your Profile

· Prior experience, ideally 2 years, in a role related to Facilities/Health & Safety or related business area would be advantageous.

· Management or trade qualifications, or qualifications in Facility Management and Health & Safety would be beneficial but not essential.

· A working knowledge or understanding of the overall compliance to Health & Safety, IT Security, and all legislation/compliance in the Workplace.

· Proficient in MS Office and preparing reports.

· Proven excellent customer service skills.

· Good negotiation, influencing, good planning and organizational skills.

· Awareness of budgetary and cost control procedures.

As a precondition of employment for this role, you must be eligible and authorized to work in Ireland and/or the United Kingdom.
