Temporary Clerical Officer - Passport Office

The Department of Foreign Affairs intends to recruit personnel for Temporary Clerical positions in the Passport Service and Archives.

Closing date: 12pm, on Thursday 19th September 2024

The successful candidates can be based in the Passport Office’s in Balbriggan, Cork, Dublin 2 and Archives in Finglas depending on their location selection in the application form. When absent from home and headquarters on duty appropriate travelling expenses and subsistence allowances will be paid subject to the normal civil service regulations.

Hours of Attendance

Hours of attendance will be as fixed from time to time but will amount to on average not less than 41 hours and 15 minutes’ gross per week. Where extra attendance is necessary, payment or time off in lieu may be allowed in accordance with the Civil Service regulations. Full-time attendance in the office five days a week is required.

Temporary Clerical Officer in the Archives

The Department is seeking to recruit a number of Temporary Clerical Officers to assist with the implementation of new file management software and the organisation and moving of files in preparation for the future relocation of the Archive Unit file storage repository in Finglas, Dublin 11.

It should be noted that the job requires some physical activity ie. removing files from shelves, lifting of boxes, and making flat pack boxes, as the work environment is a warehouse setting. Working at heights and some manual handling is required to transport files around the facility.

It is envisaged that successful applicants will work both independently and as part of a team to catalogue files using the file management software system and order files in the facility.

Duties of the Archive role can include:

1. Removal of files from shelving units

2. Inputting all necessary information from the file (including the file title) onto the Department’s file management software system

3. Barcoding files

4. Placing file in storage boxes

Full induction training on file cataloguing will be provided. The appropriate Health and Safety training, including manual handling and equipment use(i.e ladders,hand trucks and trolleys) will also be provided on site before work will commence in the warehouse area.

Health & Character

Candidates must be in good health, capable and competent of carrying out the work assigned

to them, and they must be of good character. Those under consideration for a position will be required to complete a health and character declaration. References will be sought.

The post will require special security clearance and will require completion of a form for Garda

vetting purposes. In the event of conflicts of interest, candidates may not be considered for certain posts.
