Job GradeIt is anticipated that in order to have the required skills and competencies, the Skills Development Coordinator post will be at the First Point level.
Reporting LineThe Skills Development Coordinator will report directly to the Head of Skills Development.
Role OverviewThe Skills Development Coordinator will provide crucial administrative, logistical, and organisational support to ensure the effective planning, coordination, and implementation of Screen Ireland programmes. The role will also manage projects, facilitate funding scheme administration, oversee event logistics, and liaise across departments to support continuous improvement in service delivery. This role requires a proactive, detail-oriented approach to supporting the department’s objectives, fostering collaboration, and delivering quality experiences for the sector’s professionals.
Function OverviewThe Skills and Professional Development Department offers a wide range of courses, programmes, and events as well as funding supports and sectoral initiatives to support individuals at every stage in their career and to enable the long-term development of a flourishing, sustainable Screen sector. Our offering includes short courses, online modules, mentoring, work placements, certificates and diplomas. We also provide funding for Bursaries, Skills Development Events, and larger learning Initiatives through our Stakeholders Programme. In addition, we run many sectoral initiatives including projects on: AI; a database for Screen Crew and Services; Gender, Equality, Diversity, and Inclusivity, (GEDI), Engaging the Next Generation, the National Talent Academy network, Recognition of Prior Learning, Sustainability and Work-Life balance. We wish to engage a suitably qualified person for the role of Skills Development Coordinator to cover the position on a full-time contract basis. The role works directly with the Head of Skills and Professional Development and the Skills Development Team/Department.
Position Profile and Key ResponsibilitiesKey Responsibilities
Team Support & Coordination
- Collaborate closely with the Head of Skills and Professional Development and the broader Skills team to support team objectives and contribute to service development for the sector.
- Provide comprehensive administrative, logistical, and organisational support across the Skills team and manage a portfolio of projects to enhance team capabilities and offerings.
Course and Event Coordination
- Oversee the administration of in-person and online courses and events, including uploading information online, managing applications and payments, and coordinating venues, catering, speakers, and logistics.
- Deliver administrative and coordination support for online webinars, including responding to inquiries and addressing technical needs.
- Lead the design and execution of skills and stakeholder events that advance sector development.
Data Collection & Reporting
- Gather and analyse data from internal and external sources to prepare reports and provide updates on key metrics.
- Collect data from team members, National Talent Academies, and others to inform reports for the Board and address raised queries. Assist with filing, sharing, and improving report templates and processes.
- Support the annual and quarterly planning and review process for the Skills Team.
Financial Administration
- Process purchase orders, ensuring accuracy before sending for approval.
- Sign off on invoices for payment processing and assist with annual budget planning and financial reporting.
- Facilitate team use of new financial systems and processes in collaboration with the Finance Team.
Front of House Support
- Deliver a welcoming and responsive front-of-house service, addressing general and programme inquiries, welcoming visitors, and providing occasional reception cover for Screen Ireland.
Funding Schemes Administration
- Support administration of funding schemes, including bursaries, mentoring, and skills development events.
- Respond to scheme queries, review applications for eligibility, organise panel meetings, take minutes, communicate decisions to applicants, and manage payment processing and progress tracking.
Meeting Coordination
- Coordinate key Skills Sub-Committee and organisational meetings, handling scheduling, agenda preparation, minute-taking, and liaising with meeting chairs.
- Manage logistical aspects such as booking meeting rooms and catering arrangements as needed.
Project Management
- Lead projects aimed at improving service delivery, team efficiency, and effectiveness, including:
Systems Support & Development
- Liaise with developers, contractors, and users to ensure the effective operation and enhancement of various systems (e.g., Crew and Services Database, Safe to Create Modules, ASTARS).
- Address user issues, work with developers on troubleshooting, and prepare usage reports.
- Support the progressive development of systems in coordination with internal and external stakeholders, IT, and end users.
Cross-Departmental Collaboration
- Coordinate with other departments, including Finance, Marketing, Business and Legal, Production and Development, and Inward Development, to align on cross-functional initiatives.
- Provide support to the Skills team during peak periods and leave.
Key Requirements Essential
- A relevant qualification at degree level (or equivalent).
- Minimum of 3 years of experience in a similar coordination and administrative role, preferably within skills development, education, public sector, or arts and culture.
- Demonstrated experience in planning, organising, and managing events, training courses, or programmes, including coordinating logistics, participant management, and on-site/online event support.
- Proven experience managing or supporting projects from inception to completion, including setting timelines, coordinating stakeholders, and tracking progress.
- Proficiency in use of office IT tools (e.g. MS Word, Excel, Teams, Zoom, HR and financial systems, databases, especially liaising with IT or third-party vendors to address issues and make technical improvements. as well as supporting team members in use of these systems.
- Experience in collaborating across departments and with external partners, managing communications, and addressing stakeholder needs effectively.
- Familiarity with financial processes, including raising purchase orders, processing invoices, and supporting budget management, ideally in a public sector or grant-funded context.

- An interest in training, learning, skills and people development including own self-development
- A commitment to supporting the Screen Sector.
- Project Management and/or Design Thinking training and/or experience would be especially welcome.
- A motivated, dynamic, can-do attitude and be able to work under pressure with a professional attitude.

Particulars of the Position- This position is at the Executive Officer level and is remunerated at €36,544 per annum. This role will be filled in line with Public Pay Policy at the first Point of this Salary Scale unless the successful candidate is appointed from an existing public sector role. - This position will be offered as a permanent full-time contract.
- The successful candidate will be required to sign the Screen Ireland Code of Conduct.
- The role will have a 6-month probation period.
- Will report directly to the Head of Skills and Professional Development.
- The post may be based in Dublin.
- Annual leave (excluding bank holidays) of 23 days pro rata.
- Start Date as soon as possible.
