Role Relationships

Reporting directly to the ‘insert job title’ the post holder will have specific daily contact with.

  • School of Medicine Operations Manager
  • Administration Team – School of Medicine
  • Head of School of Medicine
  • Undergraduate Programme Director, curricular review operational team and related workgroups.
  • Director of Strategic Development and Process Improvement
  • Academic Administration, Human Resources, Management Accounts, Student Services, ISS, Payroll, ISS, CELT and other School Offices,
  • Other University Offices including but not limited to the Office of the Registrar and Deputy President, Buildings Office, Accounts, ISS, Library, Centre for Excellence in Learning and Teaching, HR, Graduate Studies.

(a)   External

  • External curricular review project co-lead
  • External stakeholders in projects including, but not limited to the following: Consultants and staff within the Saolta University Hospital Group and HSE, General Practitioners and the Irish College of General Practitioners, Patient Advisory Groups.
  • Cognate Schools/Departments in other Universities
  • Representative bodies and government agencies, for example the Medicine Council, Department of Health, Department of Education

The post holder has general contact with:

  • External suppliers.
  • General public.
  • Other College offices.
  • Other administrative staff of the University.

Main Purpose of Job

The post-holder is responsible for management of the Undergraduate Medical Curricular Review project and the associated development / maintenance of effective processes/systems to support the strategic objectives and organisational development of the project.

The post holder will lead in project planning and scheduling

·       adherence to outcome timelines of the of the 6 work packages (1 for each of the 5 curriculum themes and the Foundation Year workgroup),

·       requirements analysis,

·       systems review and curriculum restructure

·       related professional support staff development.

·       In addition, the post holder will provide operational support for stakeholder communication and relationship management.

Main Duties and Responsibilities

Working within the School, the post-holder will carry out the duties of the post under the direction of the SoM Operations Manager and the project lead, Dr Rosemary Geoghegan. They will be responsible for management of the Undergraduate Medical Curricular Redevelopment project (UGMPCRP).

Duties will include those listed below, and any other duties as assigned by the post-holder’s line manager or Director of Undergraduate Medical Programme:

Project Management

·       Implementation, monitoring and evaluation of the project and related work packages, to deliver strategic plans, operational plans and restructuring with respect to UGMPCR project.

·       Draft project plans and lead teams towards operational achievement of project outcomes.

·       Develop new systems and systems enhancements to meet the needs of the project. For example, this could be a new student and faculty scheduling system to support curricular change, a new clinical placement system, a system to capture feedback for students etc.

Process Improvement

·       Scope and operationalise new practices required by Undergraduate Medical Programme Curriculum Review and to improve service efficiency, identify and eliminate waste in existing work processes.

·       Influence support staff regarding adaptation and adoption of new practices to ensure better performance.

·       Enable effective analysis and decision making for the Projects Leads by reporting on data from multiple sources and producing recommendations relevant to the projects KPIs.

Systems Development

·       Develop appropriately detailed specifications for any new systems and enhancements emerging from curriculum review so that they are clearly understood by development teams and service providers.

·       Manage procurement of relevant systems in line with NUI Galway Procurement processes and relevant ISS architectures/policies.

·       Assist in the requirements analysis of new systems, carry out user acceptance testing, support implementation, provide training and associated support documentation for end users (staff and students).

Website Development

·       Manage the development and update of Undergraduate Medical Programme website to a more stakeholder needs-based format, in collaboration with other stakeholders and units.

Complexity:

The successful candidate will have extensive project management experience and a track record of achievement in a complex and results focused organisation. She/he will demonstrate strong successful experience of dealing with a wide range of stakeholders. She/he has the ability to identify required improvements and execute on those. Project management experience in university and/or hospital preferable.

Decision-making:

The post-holder will need to work without direct supervision.

Relationships:

From an operating perspective, the post-holder will perform his/her duties under the direction of the SoM Operations Manager. Good interpersonal skills and ability to work with a network of contacts will be required

Requirements for the role:

The successful candidate will demonstrate the eligibility requirements below in terms of qualification, skills and experience:

The successful candidate will have administrative experience and a track record of achievement in a complex and results focused organisation. She/he will demonstrate experience of dealing with a wide range of stakeholders.

Skills and Attributes:

The successful candidate will have:

·       A primary level 8 degree in a relevant field –ICT/Engineering/Business

  • Excellent Information and Communications Technology skills, with a minimum of 3 years’ practical experience in a similar or related role(s) - e.g., T4, MS Teams, MS 365 including knowledge of systemising processes and procedures and implementation of a document management system
  • Project management certification

·       A proven track record of successful project management

·       Proven organisational and administrative skills

·       A proven track record in data analysis and reporting

·       Proven experience of taking initiative and self-management.

 

Desirable Criteria

·       Experience of project management in university or hospital context

·       Knowledge of higher education sector developments and policies

  • Demonstrated experience of financial monitoring and reporting
  • An understanding of procurement processes and evidence of experience in public sector procurement.

·       Evidence of excellent communication, teamwork and interpersonal skills

  • Evidence of adaptability, flexibility and innovation in past roles.

A panel will be created following interviews from which future appointments for the same roles will be made for a period of up to 12 months
