This is an important role which will support the Facilities team in the day-to-day running of the Dublin office, as well as the business with administrative duties and reception responsibilities. As such, this is a customer focused role, with the customer being both the business internally and our clients, in which use of initiative is of upmost importance.

RESPONSIBILITIES:

  • Reception cover, to include all reception duties such as switchboard management, taking messages, receiving, distributing and sending post and couriers, placing stationery orders, managing reception email enquiries, ordering staff business cards, booking meeting rooms, registering visitors, arranging meeting and office event set-ups, printing, copying and binding duties
  • Conducting regular preventative health and safety and general office checks, maintaining clear records of checks and findings and sharing them with the Facilities team
  • Provide administrative support to all staff within the Dublin office
  • In conjunction with the Facilities team, working with PPM (planned preventative maintenance) contractors and other key external vendors to arrange for repairs and maintenance relative to office furnishings, fixtures, equipment and space and to maintain high standards with regards to cleaning and other office services
  • Assisting with onboarding new employees (setting up laptops etc)
  • IT support Dublin office - coordinating with IT colleagues when required
  • Liaising with the Finance team regarding invoice payments
  • Event planning
  • Responding to emails in an efficient and professional manner
  • EA support
  • Working with Physical Security to create and distribute Kroll access cards to new staff or existing staff requiring replacements and to cancel passes for leavers
  • Maintaining Fire Warden and First Aider qualifications as arranged by Facilities, in order to support the Facilities team with the day-to-day health & safety of the office
  • Assist with office moves and reorganisations

REQUIREMENTS:

  • Excellent organisational skills
  • Strong, professional communications and interpersonal skills (both written and verbal)
  • Possess a good understanding of high-quality customer service
  • Computer literate with good knowledge of Microsoft Office
  • Well-presented, with a professional approach at all times
  • Enthusiastic team player
  • Positive attitude and proactive approach
  • Self-motivated and creative
  • Strong ability to multi-task several duties in a fast-paced environment
