Pre-Construction Administrator

A UK leading multi-award winning building services contractor are currently seeking a Pre-Construction Administrator in supporting their expanding pre-construction team at their fabulous new Head Office in Banbridge, as a fundamental role in assisting with the bidding and delivery process of multiple large scale projects throughout the UK, Ireland and Europe, including high rise residential, commercial, educational, airports, data centres, decarbonisation and renewable energy projects.

Alternative Heat is a specialist MEP contractor that carries out design, manufacture and installation of offsite mechanical & electrical prefabricated products and renewable energy systems with a reputation for construction quality and delivery of projects to the highest standard, where the pre-construction processes are an integral element in assisting with the delivery strategy and ensuring efficient operations across all estimation, design, manufacturing and onsite installation project stages.

Key Responsibilities

  • Coordinate meetings, including scheduling, issuing invitations, updating calendars, and distributing relevant documents in advance.
  • Attend meetings, take detailed minutes, and distribute to relevant persons.
  • Monitor project timelines and upcoming milestones and deadlines.
  • Regularly communicate with relevant stakeholders’ status updates on project tasks, address concerns, and solicit feedback.
  • Create project documentation such as proposals, presentations, schedules, and reports.
  • Collaborate with team members to gather information and compile data for proposals, presentations, schedules, or reports.
  • Organise and maintain the folder structure for all project documentation.
  • Proactively identify potential issues in document preparation and work with team to address them.
  • Develop standardised templates for various project documents to ensure consistency and improve efficiency in document creation.
  • Stay updated on industry trends and best practices related to project documentation and administration.
Skills, Knowledge and Expertise

Essential Criteria:

  • Minimum 3 years’ experience working as an administrator within an office environment completing similar tasks.
  • Strong written and verbal communication skills
  • Strong organisation and planning skills to manage multiple tasks and prioritise tasks.
  • Strong analytical abilities to review and analyse project documentation.
  • Proficiency in Microsoft Office Packages; Outlook, Word, PowerPoint, Excel, Project, Teams

Desirable Criteria:

  • A relevant third level education
  • Knowledge of the building services or construction industry
  • Strong understanding of the bid, design, and delivery processes within the construction industry
  • Proficiency in creating, formatting and managing various types of project documentation including bid proposals, presentations, reports and correspondence.
