Visit.org is looking for a passionate and ambitious Operations Associate to join our remote team. The Operations Associate will own the daily communications between external stakeholders as it relates to events. Please note: This is a remote, contract-based position (40 hours/week, 8 hours/day, invoiced monthly) that is based in Ireland. The ideal candidate will be working local hours of 10 am to 6 pm local time (GMT).

Responsibilities: 

  • Manage supplies for Visit.org’s social impact events in Europe: Source, purchase, and facilitate the timely shipment of items needed for high-quality event execution. 

  • Track shipments and ensure supplies are delivered on time and within budget.

  • Evaluate vendors and develop purchasing and pricing strategies to increase efficiency and reduce costs.

  • Build relationships with wholesalers and source and manage event supplies inventory. Manage daily communications with these vendors.

  • Quality assurance of event kits, which include testing and taking pictures of inventory

  • Prepare and maintain budgets, cost estimates, reports, and project documentation including project schedules, status reports, and purchase orders. 

  • Coordinate with internal teams regarding event needs and address issues as they arise

  • Maintain feedback loop with cross-functional teams to provide insight and share suggestions on where improvements can be made

  • Identify risks and come up with innovative solutions to ensure events are successful and completed as scheduled

  • Learn and become an internal expert on our experiences offered on the Visit.org platform 

Qualifications:

  • 2-4 years of experience in supporting project management, logistics, and operations, experience in event management is a plus

  • Experience with sourcing products, conducting quality control, and vendor management

  • Experience budgeting and forecasting

  • Ability to prioritize workflow and organize tasks and responsibilities

  • Experience in G-suite, Salesforce, and Project Management tools are preferred

  • Highly organized with extreme attention to detail

  • Proficiency in English and another second language is a plus

  • Demonstrate a strong desire for growth or learning and keep up to date on industry and management trends

  • Experience working in a fast-paced startup environment 

  • Passion for our mission and the desire to make an impact in the world through technology
