Office Manager

Vision Contracting Ltd. are delighted to announce we are currently seeking an experienced and highly organised Office Manager to join our team. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment.

The successful candidate will be fully based on-site in our Head Office in Model Farm Road Cork and primarily report to the HR Manager with a secondary reporting line to our board of directors.

Working hours:

39 hours per week, Monday to Thursday 9:00am – 5:00pm and Friday 9:00am – 4:00pm.

Function

The Office Manager will act as a central figure responsible for coordinating various aspects of office operations to ensure efficiency, productivity, and a conducive work environment.

The key activities

  • Overseeing daily administrative tasks and ensuring the smooth operation of the office.
  • Managing office supplies, equipment, and facilities to support a productive work environment.
  • Assisting in the onboarding, induction and offboarding of new employees.
  • Managing the company car fleet, ensuring internal data base is accurate at all times.
  • Coordinating facility maintenance and ensuring a safe and comfortable working environment.
  • Distributing post to employees and handling outgoing post.
  • Planning and organizing company events, meetings, and conferences.
  • Serving as a point of contact for employees and service providers.
  • Answering inbound phone calls, taking messages and directing calls to the appropriate departments.
  • Managing office technology and troubleshooting technical issues with the support of our IT providers.
  • Co-ordinate all hotel bookings for employees and maintaining all booking information for the accounts department.
  • Provide support to colleagues and teams within the office, fostering a positive and productive work environment.
  • Ah hoc duties as required by senior management

The experience

  • Proven 5+ years experience as an Office Manager or in a similar administrative role.
  • Highly Proficient in Microsoft Office suite (Word, Excel, PowerPoint, SharePoint etc.) and relevant software packages.
