Office Manager

RDI Hub is seeking a dynamic and organised individual to fill the role of Office Manager, reporting to the Senior Operations Manager. The Office Manager will be a strong generalist and will work collaboratively with various teams to ensure a great member, partner and event experience for all the community. You’ll work with great teammates and do meaningful and challenging work as you tackle this unique opportunity to cultivate and support a vibrant innovation ecosystem based in the South West while connecting into a global technology audience. 

This is a full-time role (37.5 hours per week) based onsite in the RDI Hub, Killorglin, Co. Kerry. 

Duration of Contract: 2 years

As Office Manager you are responsible for:

  • Oversee day-to-day office activities - acting as the the main point of contact in the RDI reception area, overseeing visitors, clients, and members to the office.
  • Preparing for clients and assisting with any requests regarding catering.
  • Ensure the organisation operates at its best and take proactive steps to resolve issues or escalate where appropriate.
  • Create documentation and policies to support the efficient running of the office ensuring these are effective and taking steps to correct if necessary.
  • Creating and updating documentation for various national and international grants for RDI Hub. Working closely with national and international grant agencies to ensure compliance with the funding requirements.
  • Partner with the Finance Department to perform tasks related to the day-to-day financial operations of the RDI Hub.
  • Manage and coordinate all aspects of space/infrastructure planning (moves, additions, changes to workstations) and provide answers, resources, support and solutions when requested for members/clients.
  • Provide direct administrative support as needed, such as, scheduling member events, meetings, and external events, booking travel, maintaining file systems, on/off-boarding members.
  • Maintain a high standard of facilities, ensuring cleanliness and client ready for the events space, conference rooms, collaboration space. Responsible for the overall site venue management, including logistical planning, ops, and IT support of each event run in RDI Hub.
  • Liaising closely with the facilities and cleaning teams ensuring any issues are resolved quickly and efficiently.
  • Act as Health & Safety point of contact which includes fire safety, regulatory compliance, manage emergency procedures, apply safe standards of work and conduct risk assessments when required.
  • Office inventory- Manage stationary supply orders and ensure required supplies, inventory, are in stock.

The Person:

  • Minimum of three years previous Office Management experience in a similar role required.
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
  • Ability to support internal client needs and meet and engage with new clients regularly.
  • Very strong administrative skills with an ability to follow through and deliver on tasks.
  • Proficiency with office applications, and aptitude for learning new software and systems.
  • Skill and experience in processing and documenting data, demonstrating accuracy and attention to detail.
  • Energetic, personable individual with a flexible “can do” attitude.
  • Support and work with other internal departments and teams across finance, facilities, sales and marketing.
  • Dependable and strong in planning, priority setting, and execution.
  • Previous experience of health & safety requirements desirable.
