Job Summary:

The Office Administrator is responsible for ensuring the smooth and efficient operation of the office primarily coordinating day-to-day office activities. The role requires strong organizational, communication, and multitasking skills, as well as a proactive approach to problem-solving.

Key Responsibilities:

  • General Office Administration:
  • Answer and direct incoming calls, emails, and inquiries.
  • Schedule meetings, appointments, and manage the office calendar.
  • Coordinate office activities and events (e.g., team meetings, training sessions, staff lunches).
  • Document Management:
  • Organize and maintain office filing systems, which are all digital.
  • Ensure that company records and documents are up to date and stored securely.
  • Financial and Procurement Support:
  • Generate customer invoices & liaise with clients regarding invoice queries
  • Payment of employee’s salary to be scheduled from bank account
  • Data Entry and Reporting:
  • Maintain and update databases, employee records incl. training records, and other relevant information.
  • Gathering and inputting of data into database of future employees who are interested in working with the company.
  • Assist with generating regular reports, as needed by management or other departments.
  • Monitor and manage internal communication channels (e.g., email lists, intranet).
  • Support to Senior Management and Teams:
  • Provide administrative assistance to senior management, calendar management, and document preparation.
  • Handle confidential information with discretion.

Key Skills and Qualifications:

  • Education: High school diploma or equivalent required. A bachelor's degree in business administration or a related field is preferred but not essential.
  • Experience: Previous experience in an administrative role with strong background using Microsoft office (2 years plus).
  • Technical Skills:
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of basic accounting or invoicing software is a plus.
  • Previous experience using Microsoft teams
  • Communication Skills: Strong written and verbal communication skills.
  • Organizational Skills: Excellent time management, attention to detail, and multitasking abilities.
  • Problem-Solving: Ability to identify issues and implement effective solutions.
  • Discretion: Ability to handle confidential information with integrity and professionalism.
  • Teamwork: Ability to collaborate effectively with staff and management at all levels.
  • Adaptability: Ability to adjust to changing priorities and manage multiple tasks simultaneously.

Working Conditions:

  • Office Hours: 09:00-17:00 with flexi time as an option
  • Work Environment: Work from home role
