HR Officer

Inspire WellbeingLombard House, Central Office, Antrim£25,974.00- £29,822.00Permanent

Main duties and responsibilities are to:

A.    HR Best Practice

  • Act as the first point of contact in HR providing advice and guidance.
  • Contribute to the ongoing development of the People, Development and Compliance Operational Plan in support of Inspire’s wider Operational Plan and Strategy.
  • Collate information for key performance indicators to measure the effectiveness of the HR function and its initiative upon Inspire.
  • Assist in the development of employee engagement activities in collaboration with other members of the HR team.
  • Develop standard operating procedures to reflect the tasks completed in the HR function.
  • Proactively explore more efficient ways of working, actively engaging in innovative approaches.
  • Participate in the reviewing of policies, procedures and forms to ensure that they are up to date and accessible by employees.
  • Deliver training and information sessions on HR Policies and Processes.
  • Work together with other departments within the company to identify and process improvements and improve standards, efficiency and profitability.
  • 10.  Use a proactive and forward-thinking approach to develop initiatives to support the aims and objectives of the operational plan.

    B.    HR Management Information

  • Manage and maintain HR information systems and develop standard documentation for all employees of Inspire in relation to using the self service elements.
  • Assist in the preparation of regular and adhoc management information reports, as agreed with managers to support continuous improvement and review of performance e.g. turnover, staff surveys, absence, and recruitment.
  • Assist in the preparation of statutory reports in a timely and accurate manner e.g. Article 55.
  • C.    Absence Management

    1.     Manage the short-term absence processes including reviewing absences on the HR Management Information System ensuring information is accurate and up-to-date and assisting with the co-ordination of attendance review meetings.

    2.     Provide timely advice and guidance to managers and employees on absence related queries.

    3.     Prepare Occupational Health Referrals and review Occupational Health Reports taking note of any recommendations and liaising with the manager in relation to this.

    4.     Assist with the analysis of absence data, identifying trends and implementing initiatives to address these.

    D.    Work-Life Balance Requests

    1.     Management of all work-life balance requests to include flexible working requests, maternity/paternity/parent’s/parental/adoption leave requests etc. Issue letters as necessary and ensure terms and conditions changes, maternity/paternity/parent’s/parental/adoption leave updates are recorded and up-to-date on the HR Management Information System.

    2.     Provide timely and accurate advice and guidance in relation to work-life balance Policies and Processes.

    E.     Employee Relations

  • Provide advice and guidance to managers on employee relations matters ensuring that Inspire policy and procedures are adhered to consistently across Inspire and assist Managers in taking any necessary action.
  • Participate on panels to support managers with employee relation issues, ensuring that best practice and legislation is adhered to.
  • Prepare, compile and manage documentation for Employment Relations cases. Assist in the preparation of documents for Employment Tribunals.
  • Assist in the updating of Inspires HR policies, systems and procedures in line with legislative changes and best practice.
  • F.     General

     ESSENTIAL CRITERIA

    DESIRABLE CRITERIA

    1. Circumstances

    1. A full current driving licence and access to a car. Consideration will be given to alternative travelling proposals in respect of applicants with a disability who cannot hold a licence.

    2. Ability to be flexible and adaptable as the role will involve working at various locations throughout Ireland.

    2. Qualifications & Experience

    1.   Third level qualification in Human Resources or a related discipline (or equivalent) and 1 years’ experience working in a dedicated generalist HR role.

    OR

    2. 3 years’ experience working in a dedicated …..generalist HR role.

    3. Knowledge & Skills

    1.   Proven experience of providing advice and guidance on HR policies and processes (in at least 2 of the following areas: Recruitment, Disciplinaries, Grievance, Sickness Absence Management).

    2.   Demonstrable experience of using a HR information system to ensure accurate information for management reports.

    3.   Proven experience in the use of Microsoft Office packages.

    4. Demonstrable ability to manage and prioritise workload to ensure effective and timely outcomes.
