HR Intern

This is a HR Intern role, reporting to the HR Manager. The primary focus is to provide full administration support to the HR function.

Your Responsibilities

  • HR System
  • Onboarding of new employees to HR systems Success Factors and SAP prior to commencing employment
  • Assist HR team with queries on Success Factors/SAP/CATS (time management system) & St/App (performance management system)

Recruitment & On Boarding 

  • Ensure all administration is completed in a timely fashion, to include;
  • Preparation of contracts of employment and providing the new starter with all necessary documentation
  • New Starter information sent to employees on first day 
  • All new employee files created within first week of commencing
  • Monitor Corporate Policy signing process
  • Set up of all new starters on the healthcare policy

Termination & Resignation 

  • Ensure all administration is completed in a timely fashion, to include;
  • Notify pension and health insurance vendors
  • Complete the employee file by adding final documents and archive
  • Termination in Success Factors/SAP 

Payroll

  • Input changes to internal payroll documentation in a timely & efficient manner
  • Reflect any changes that occurred throughout the previous month on internal calendar
  • Complete new starter payroll administration in timely manner 

Absence Management

  • Record all absences and medical certificates, on the HR system & file accordingly

Training 

  • Assist with coordinating all internal training and development workshops 
  • Update and maintain training database 
  • Ensure all employees training record is updated on the system and their feedback is accurately recorded

Additional responsibilities

  • Maintenance of the HR shared mailbox
  • Update & maintain organisational charts
  • Work with the HR team to ensure all HR objectives are met
  • All ad-hoc administration/projects assigned within the HR function
  • Actively contribute to Global HR team and strategy through attendance on video and conference calls
  • An active member of the company sports & social club
  • Ensure that HR Systems are kept up to date at all times
  • Adhere and comply with audit requirements
  • Updating of the HR Intranet page 

Your Profile

  • Currently studying for a third level qualification in Business area and have completed a HR module
  • Excellent attention to detail
  • Be risk aware and take all steps necessary to minimise errors 
  • Proficient with MS Office Excel and Word
  • Strong ability and experience of multi-tasking 
  • Proactive with strong organisational skills and the ability to work on own initiative
  • Excellent communication skills, both verbal and written
  • Ability to work under pressure and meet deadlines as required
  • Ability to work independently and as a part of a team in an international environment
