Finance and Administrative Officer
Background and Objective
The Irish Global Health Network (IGHN) is an independent network of people from different backgrounds, sectors and disciplines who are concerned with health inequities and issues that impact on the health and development of populations at a global level, with a particular commitment to those living in middle and low- income countries.
ESTHER Ireland, established in 2012, works to foster international partnerships between Irish health institutions and organisations, and their counterparts overseas, to strengthen health systems and improve health outcomes.
We are looking for a dynamic person to join our team to support IGHN and ESTHER in all financial and administrative activities. Unique flexible, part-time (Team meeting every Tuesday) and interesting finance and administrative position to work with Irish Global Health Network (IGHN).
Job description
This is a part-time position designed to support the Executive Director in the administrative and financial duties of running the IGHN and ESTHER Secretariat.
The IGHN/ESTHER Finance and Administrative Officer will work directly under the supervision of the Executive Director. From time-to-time, some attendance at IGHN/ESTHER events will be required.
Deliverables
Administrative support (40% of responsibilities)
- Provide administrative support to IGHN and ESTHER secretariat, including coordination of meetings, and providing admin support for events, and other activities.
- Provide specific event/activity budgets and track spending.
- Produce financial reports, as needed.
- Ensure CRO/legal requirements are up to date and provide direct support to Secretary.
Financial support (60% of responsibilities)
- Prepare monthly summary reports tracking monthly revenue and expenditure on all accounts; IGHN/ ESTHER Ireland/Grants.
- Prepare and maintain yearly budgets.
- Contribute financial reports to the IGHN and ESTHER Ireland Annual Reports.
- Initiate and support yearly audit.
- Update financial transactions into QuickBooks system.
- Administration of banking online; setting up new payees/payments/salaries, sending payments for authorisation, maintaining bank accounts.
- Cross-check payroll report to ensure monthly salaries are correctly set up.
- Support on any other finance-related functions of IGHN and ESTHER Ireland.
- Track and manage all external funding.
- Other financial or administrative tasks as they arise.
Desired Skills and Experience
- Qualification in a relevant field (finance, accounting, etc.)
- Proven experience in financial management and budgeting, ideally within a non-profit or similar organisation.
- Familiarity with non-profit financial regulations and procedures.
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (e.g. QuickBooks).
- Experience in maintaining records, filing systems, and document management.
- Meticulous attention to detail when working with financial data and administrative tasks.
- Ability to identify errors and discrepancies in financial documents and reports.
- Excellent written and verbal communication skills.
- Ability to communicate financial information to non-financial staff and stakeholders clearly and concisely.
- Efficient time management skills with the ability to meet deadlines and prioritise tasks.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
- Comfort with using digital tools and platforms for remote work, including video conferencing and cloud-based collaboration tools.
- Willingness to stay updated on best practices in finance and administration within the non-profit sector through professional development and training opportunities.
Method of Work
The Finance and Administrative Officer will work closely with the Executive Director and the IGHN and ESTHER team to develop and deliver these outputs. The Finance and Administrative Officer can work flexibly from any location within Ireland.
Terms
Part-time position 2.5 days (20 hours) per week (preference for five mornings/week)
Salary range €31,000 to €33,000 pro rata DOE.
