Post Duration: 3 year fixed-term contract
Grade: Grade VII
Reports to: Head of Corporate Services/Registrar
Salary: Grade VII Salary Scale - €58,252 - €75,728 per annum*
*Candidates should note that as per Department of Public Expenditure, NDP Delivery and Reform guidelines, entry will be at the minimum point of the scale and the rate of remuneration will not be subject to negotiation and may be adjusted from time to time in line with Government pay policy. Different terms and conditions may apply if you are a currently serving civil or public servant.
Annual Leave: 29 working days. This leave is exclusive of public holidays.
Hours of Attendance: 35 hours per week (net of rest breaks), Monday - Friday
Purpose of Role:
To provide comprehensive support to Head of Corporate Services and Heads of School in the management and operational delivery of NCAD academic programmes.
Principal Duties and Responsibilities
- Working with HR and Head of Schools (HOS)/Head of Departments (HOD) establish detailed staffing plans for each academic programme that are reviewed and updated annually in consultation with faculty
- Working with HR and Finance establish and monitor staff-student ratios (SSR) for each NCAD programme (on a module by module basis)
- Working with HOS/HOD prepare resource plans for the annual budget cycle detailing specific staffing requirements, capital requirements and travel/materials budgets
- Working with Registry/Facilities maintain an up to date register of students across each NCAD programme, mapping students against studio/workshop occupancy and usage
- Working in consultation with HOS establish capacities for each Department for second year Departmental/Programme allocations
- Working with facilities to map space and equipment requirements for each academic year (including IT/furniture needs)
- Liaise with School/Departmental administrators to ensure that consistent processes for planning and data capture are used across the institution
- Maintain a schedule for new programme development and provide College Management Team (CMT) with an operational oversight to inform implementation schedules
- Attend School/First Year Studies Board meetings and HOS/HOD meetings
- Attend Student Council meetings
- Research and implement a new room booking system that can expand to more timetabled use of space (including workshops)
- Liaise with Student Experience/School/Departmental faculty and administrators to establish/ensure a consistent level of pastoral care across the faculties
- Support cross-disciplinary workshop access initiatives
- Support facilities in delivering strong culture of Health & Safety across the faculties
- Working with Academic Affairs to oversee development and delivery of Quality Improvement Plans (QIP) across the faculties and institutional Quality Enhancement Plan (QEP) as appropriate
- Monitor learning partnerships and agreements across the college ensuring that correct governance framework is in place for student learning projects (agreements, insurances etc)
- Undertake any other appropriate duties as may be assignment by the appropriate officer from time to time.

Mandatory:
· Academic qualification (NFQ Level 8 or higher) or relevant experience
· Minimum of 3 years’ relevant experience
· Excellent interpersonal and communication skills
· Excellent organisational skills
· Ability to develop working relationships with a wide range of people and stakeholders
· A high level of proficiency in IT
· Strong understanding/experience in the use of IT/technology to support and improve operational delivery and efficiency
· Highly proficient in the use of excel and data preparation/management/analysis
· Ability to lead and to work well within and across teams
· Problem-solving and solution focused approach
· Experience managing a range of projects and work activities simultaneously
· Collaborates and supports interdisciplinary working cross-college to achieve College goals and strategy
· Demonstrable experience of working on your own initiative and identifying and implementing operational/process efficiencies.
Desirable:
· Previous experience in a higher education institution
· Experience of developing and delivering initiatives in a third-level environment
