Facilities Officer

KEY PURPOSE

Undertake key holder responsibilities for designated facilities and act as the responsible person on shift including full responsibility and accountability for the facility and it operations.

Assist the Service Manager or designated officer with the day to day management of designated leisure and sports facilities and assist with the management of designated areas of the service.

Ensure a customer focused approach at all times and ensure the highest standards of health & safety, quality and service delivery within leisure and sports facilities when on shift.

DUTIES AND RESPONSIBILITIES

1.     Take responsibility for the safe supervision of staff, contractors, and customers and ensure compliance with all health, safety, financial and customer related systems, processors and procedures.

2.     Coordinate, supervise and assist with the day to day operational requirements of the centre including dealing with customer queries/complaints, providing cover for service areas as required, managing the internal rota including proactive management of daily bookings, set ups, take downs cleaning and housekeeping duties.

3.     Undertake front of house duties as and when required.

4.     Ensure comprehensive operational management practices are adhered to by completing regular monitoring and inspections of the facility and its equipment, ensure proactive and reactive maintenance is carried out as required, comply with a robust fault reporting and sign off system.

5.     Prepare daily and weekly work schedules and rotas aligned to the needs of the service and operational standards ensuring effective and efficient operations and compliance with systems, processors and procedures.

6.     Ensure high levels of customer service and high standards of cleanliness and housekeeping are adhered to at all times including proactive monitoring and compliance and adherence to cleaning schedules.

7.     Ensuring day to day compliance of Council and leisure policies and procedures including, accident and incident reporting, financial management, procurement, health and safety, and Child Protection are adhered to at all times.

8.     Undertake key holder responsibilities as required including facility security, plant, legionella, CCTV, alarms, booking systems and contacting relevant support services as required.

9.     Assist the Service Manager or designated officer in implementing coordinating, developing and review programming initiatives for designated areas of the service and work with key internal and external stakeholders to improve sustainability of services, promote revenue generation and ensure quality service delivery.

10. Undertake responsibility for proactively promoting designated areas of the service, liaising with relevant personnel and stakeholders in line with identified systems and processors.

11. Promote equality of opportunity and access in service delivery and in employment processes.

12. Ensure all staff and operations comply with Health and Safety legislation in line with the departmental Health and Safety management system and corporate policy in compliance with Occupational Health and Safety Assessment Series (OHSAS) 45001.

13. Participate in and ensure compliance with all Council policies and procedures and operate within the highest standards of management and personal behaviour which reflect the core values of the organisation.

14. Undertake any other duties as required in line with the scale of the post.

Qualifications/Experience

Third level qualification in a Sports or Leisure related subject e.g. HND/HNC

Plus

Level 2 Fitness Qualification

Plus

Two years’ demonstrable experience in a customer focus environment:

·       Key holding responsibility including opening and closing a public building

·       Supervising staff; to include verification of timesheets and health & safety compliance (checklists)

·       Overseeing Health & Safety of a facility

·       Working with a variety of stakeholders/ user groups

·       Co-ordinating and overseeing a schedule of activities/events in a leisure setting

Alternatively, applicants who do not have a third level qualification will be considered if they can demonstrate a minimum of 3 years’ experience in each of the five points outlined.

Desirable

If applicants to do not have the Level 2 Fitness Qualification, consideration will be given to those willing to achieve this within 6 months.

Technical Competencies/Knowledge

Knowledge and application of Microsoft packages including an integrated management (booking) system

Knowledge and application of Health and Safety in a leisure environment

Salary:

S02 (SCP 28 – 30) £36,648-£38,223 per annum
