Facilities & Insurance Co-ordinator

Role Purpose

  • Manage, maintain, update and report on the Services Log a Request system.
  • Support FM duties ensuring reactive and preventative maintenance instructions are actioned are closed.
  • Ensure Health and Safety compliance relating to all contractor activity.
  • Daily inspection of the premises, addressing and reporting any issues identified.
  • Coordinate onsite activities to ensure tasks are performed successfully & there is minimal disruption to operational activities.
  • Responsibility for all day-to-day management, control, coordination, execution of all operations under your remit and reporting directly to the Facilities Manager.
  • Manage the PPM schedules & completion of PPM and reactive maintenance works and record any further actions required.
  • Co-ordination & administration of the Vhi Group Insurance policies working with the Head of Services and our Insurance broker WTW.
  • Management of the Insurance renewal process and engaging with stakeholders to provide relevant documentation for our insurance brokers to go to market.
  • Manage and administer all relevant insurance processes and procedures including but not limited to the management and reporting of incidents, accidents, claims, settlements of claims, renewal, and onboarding of insurance providers.

Education & Experience

  • 2/3-year demonstrable experience in a similar role/similar level required.
  • Advanced excel required.
  • Knowledge of Ivanti or similar ticketing workflow system.
  • SharePoint experience.
  • 3rd level business qualification would be advantageous but not required.

Skills and Abilities

  • Proficient in MS Excel, Word, Outlook, and PowerPoint.
  • Report writing experience.
  • Familiar with effective contract management.
  • Familiar with the administration and co-ordination of Facilities.
  • Familiar with the administration of office management.
  • Demonstrated alignment to Vhi values.
