A look into the role…

To support continued growth across our group, we are seeking to add to our executive support function with the creation of this new role. Reporting to the Group Chief Financial Officer (CFO), the Executive Support Co-Ordinator will provide support to the most senior leadership teams across the Group, whilst optimising Board effectiveness and delivering excellent support to key Group initiatives.

The successful candidate will provide a full support service to the operation of board meetings, support with diary management & communications, and provide executive support for key initiatives where required.

This role will be very well suited to a candidate with highly developed time management/ organisational and communication skills, a high level of IT proficiency, and a proven track record of successfully supporting senior executive(s).

 Working as Executive Support Co-Ordinator you will:

  • Co-ordinate ongoing schedule of board meetings with CFO and Managing Directors.
  • Compile, via Directors, materials for use at board meetings (reports, minutes, agenda, investment papers).
  • Maintain Action Registers arising from meetings, and review with relevant Chair/MD.
  • Ensure, via relevant members, the update of the Action Register in advance of Board meetings, including driving relevant members to actively address open items.
  • Ensure facilities (rooms, audio-visual aids) and catering arrangements in place for board meetings.
  • Attend board meetings to record accurate and relevant minutes, for review by the appropriate Chair/MD and circulate to members.
  • Support the CFO and Directors in key initiatives as required- including reporting on progress against company strategies.
  • Liaise between Chairs, MDs and Directors to organise meetings and appointments and managing conflicts / urgent priorities as they arise.
  • Manage the email inbox of key Directors, including interactions with colleagues and external parties on behalf of the CFO, Chairs, MDs, and other Directors as agreed with CFO.
  • Liaise with Shareholders PA to co-ordinate diaries, meetings and support as necessary.
  • Maintain confidentiality at all times, dealing with/ processing sensitive information appropriately.

Skills for Success

Joining us as Executive Support Co-Ordinator, the minimum criteria you will need is:

  • Good standard of education (minimum 4 GCSEs including Mathematics & English OR equivalent).
  • Successful track record of supporting a senior executive/team.
  • Highly Proficient IT skills, including Microsoft Office 365 Suite (Outlook, Word, PowerPoint, Excel, Teams, SharePoint)

The essential attributes we’re looking for:

  • You will have highly developed organisational and time management skills, with an excellent ability to prioritise workload, multi-task and adapt to changing requirements.
  • Having an ‘eye for detail’ is essential, along with a logical, organised and methodical approach.
  • A high level of professionalism and discretion, maintaining confidentiality as appropriate.
  • The ideal candidate will be self-directed and personally motivated to provide the highest possible service to colleagues.
  • You will have a strong ability to engage and communicate effectively, in both verbal and written scenarios.
  • We’re looking for a candidate who is a confident and positive communicator, with the ability to influence senior colleagues.

It is desirable if you have:

  • Further/ Higher level qualification in a relevant subject (e.g. Business Administration)
  • Experience of working within a privately-owned business.
  • Experience of working within the FMCG sector/ food business
  • Knowledge and appreciation of the challenges and opportunities facing businesses in the United Kingdom and on the island of Ireland.
  • Knowledge and understanding of the economic, social and market environments in Northern Ireland.
  • Knowledge and understanding of how the role contributes to the Group’s goals in responsible business practice.

This is a full-time position working 36.5 hours per week. Working hours will be 8:45am-4:45pm Monday to Thursday and 8:45am-3:45pm Friday.
