Roles / Goals for results:

We are seeking a proactive and ambitious Estimating and Operations Administrator to support our Estimating and Operations teams. This pivotal role provides a pathway to professional advancement for someone passionate about the landscaping industry. The successful candidate will contribute to our project success by assisting with both soft and hard landscaping projects. While primarily based in our office, some field-based work may be required.

Salary: €32K – €35K DOE

Key Responsibilities:

As an Estimating and Operations Administrator, you will play a critical role in ensuring the efficient functioning of our operations. Here are the key responsibilities:

  • Manage Tender Enquiries: As an Estimating and Operations Administrator, you’ll oversee the process of handling tender inquiries. This involves coordinating with various stakeholders, understanding project requirements, and ensuring timely responses.
  • Setup and Organise Tender Files: You’ll be responsible for creating and maintaining organised files related to tenders within the company’s internal systems. This includes storing relevant documents, correspondence, and project-specific information.
  • Review Project Drawings, Specifications, and Bills of Quantities: Part of your role will involve downloading and thoroughly reviewing project-related materials. This includes studying architectural drawings, technical specifications, and bills of quantities to understand project scope and requirements.
  • Engage with Main Contractors for Clarifications: Effective communication with main contractors is crucial. You’ll engage with them to seek clarifications, resolve queries, and ensure alignment between the company’s offerings and the project’s needs.
  • Send Inquiries to Suppliers and Subcontractors: You’ll reach out to suppliers and subcontractors to gather costings and quotes. This involves preparing detailed inquiries, sharing project information, and managing responses.
  • Assist in Drawing Measurement for Tenders: Collaborating with the estimating team, you’ll assist in measuring project drawings accurately. This step is essential for estimating quantities and costs.
  • Prepare and Submit Technical Submissions: As part of the tender process, you’ll prepare technical submissions. These may include proposals, technical documents, and other relevant material information that are required for projects.
  • Quantify Materials for Procurement: Collaborate closely with the operations team to assess and quantify the materials required for ongoing projects. This involves meticulous evaluation of project drawings, specifications, and understanding the scope of works.

Qualifications & Skills:

To excel in this role, you should possess the following qualifications and skills:

  • Numerical Proficiency: The candidate should possess a strong numerical acumen, particularly with proficiency in Excel to handle data analysis and reporting tasks.
  • Technical Understanding: The ability to comprehend and interpret technical drawings and specifications is essential. This will aid in understanding project requirements and deliverables.
  • Organisational and Procurement Skills: The ideal candidate should have robust organisational skills, a keen eye for detail, and the ability to manage procurement processes effectively. This includes sourcing, negotiating, and purchasing goods or services for the company.
  • Process Management: The candidate should have solid process management skills to oversee and improve company procedures and create efficiencies.
  • Team Communication: Excellent communication skills are required to facilitate effective team collaboration and ensure smooth operations.
