Data Entry Coordinator

Job Purpose

To support site this individual will work alongside the clients Facility Support Lead (FSL) and Facilities Support Management Team (FMX) to develop, implement, and support initiatives, processes, and best practices to support strategic goals and drive performance metrics. 

*This being a client managed role the Coordinator will also have a reporting line to the Client nominated Manager.

Key Responsibilities overviewTechnical:· Use excel, google sheets, Tableau, SQL and internal tools to develop dashboards, charts and spreadsheets to support communication of metrics and reporting.

· Collaborate with cross functional teams to develop tooling, automate repetitive tasks and streamline processes.

· Develop and maintain accurate financial reports using SQL and Tableau to retrieve and visualise data.

· Maintain and monitor automated data pipelines in power automate, google appsheets and internal automated systems.

· Maintain and manage SharePoint sites, Google Drive folders, Google sites, and Google Apps.

· Migrate data to multiple platforms to assist in creating a better overview, to reduce duplication and track current versions.

· Support in clients Wiki page maintenance and updates I.E. Information Webpage.

· Develop and optimise Cornerstone training reports.

Administrative:

· Coordinate, support and take part in coordinator meetings, IE: Safety Committee Meetings, FMX Sync Calls, Drill and Standards Meetings.

· Maintain client’s assessment action items and observation tracker.

· Support document turnover process and metrics.

· Manage Facility Support Forms/Tool and program implementation as well and tracking of progress using dashboards.

· Assist with Data Centre new building handover process/site turnover checklist/first day of business checklist.

· Assist in managing standards implementation for site and to spearhead collaborative efforts with assisting other sites with implementation of same systems.

· Support coordination, tracking and enrolment of coordinator lead training.

· Collaborate with EHS and Security to manage site induction training and vendor enrolment onto an e-permit system.

· Manage and maintain workplace learning groups.

· Assign EHS trainings from Cornerstone LMS to FTE’s, contingency workers and contractors as directed.

· Establish and maintain cross-functional and positive working relationships. 

· Work with highly confidential information. 

· Administration Support to Fusion at FSL direction.

· Assist with other site activities as required, in conjunction with site specific scope of tasks.

Experience, Knowledge, Skills and Abilities

Essential

· 2+ years’ experience in data and/or document related field.

· Knowledge of management systems.

· Experience and understanding of working under pressure and deadlines.

· Knowledge in Office 365/Google drive and associated applications.

· Experience learning and working with multiple applications. 

Desirable

· 5+ years’ experience in data and/or document related field.

· Experience with SQL, Advanced excel (pivot reports/power query), Tableau, Data analysis.

· Experience with Google Appsheets or Microsoft power apps.

· Maintenance planning and/or workflows activities.

· Certificate in administration or related field.

· Experience working with QSHE (Quality, Safety, Health and Environment)

Circumstances

  • Some overnight stays may be required.
  • Must be willing to be flexible in their working patterns as needed to support requirements dictated by the rhythm of the business.
