Clerical Officer (Healthcare Records Library)
Purpose of the Role
The purpose of this post is to work as part of the HCR Library Team, to help ensure the provision and safekeeping of Healthcare Records in order to ensure a patient’s full medical history is available during all hospital interactions.
Principal Duties and Responsibilities Professional Duties and Responsibilities:
- The post holder will be expected to live CHI values and be child-centered, compassionate, progressive and will act with respect, excellence and integrity.
- Retrieval of healthcare records for clinics, admissions, Emergency Department etc.
- Re-filing healthcare records.
- Managing and maintaining base Healthcare Record Libraries.
- Dealing with telephone and email enquiries.
- Dealing with requests at Healthcare Records Library hatch.
- Liaise with staff in other departments, the public, and outside agencies in a confidential courteous professional manner.
- Delivering healthcare records to other Departments as required.
- Using the IPMS system to generate reports, create/modify records, tracking healthcare records, etc
- Managing healthcare records coming from or going to offsite storage.
- Managing healthcare records to facilitate the Evolve EDMS system.
- Any other duties as directed by your line manager.

Eligibility criteria, qualifications and experience Essential Criteria:
- Leaving Certificate as a minimum or equivalent
- Proficient with Microsoft Office applications
- Proficient keyboard skills
- Good numeral literacy skills
- Excellent telephone manner
- Excellent organisational skills and capability to prioritise workloads
- Excellent written and communication skills
- An ability to work on own initiative as well as part of a team
- An ability to multi task in a pressured environment in order to meet strict deadlines.
Desirable Criteria:
- Hospital experience desirable
- Experience using patient systems
Specific T&C’s of post 35 standard working week 26 days Annual Leave Remuneration is in accordance with the salary scale approved by the Department of Health: Current salary scale with effect from 1st March 2025: Grade, Code 0609 , starting at Point 1 €30,810 and rising annually in increments: €47,948 LSIS.
Please note: This is quite a physical and active job it involves pulling, refiling healthcare records and delivering them to other departments.
