Job Summary

Dublin and Dun Laoghaire Education and Training Board is a statutory local education authority operating under the terms of the Education and Training Boards Act 2013. The ETB provides mainstream educational programmes to schools and colleges as well as providing a wide range of adult and community programmes. The ETB’s educational remit extends from Balbriggan in the north of the county to Lucan in the west, to Dun Laoghaire in the south.

Dublin and Dun Laoghaire Education and Training Board (DDLETB) serves the three county council areas of Dún Laoghaire-Rathdown, South Dublin and Fingal and a population of 862,468 people. The administrative area covered by Dublin and Dún Laoghaire ETB reaches from Balbriggan in north County Dublin, to Dún Laoghaire in south County Dublin and Lucan in west County Dublin. As a statutory body, DDLETB has responsibility for a wide and varied suite of education and training services including Primary, Post Primary, Further Education and Training (FET) settings and Youth Services.

Assistant Staff Officer – Grade 4 Adult Education Service South East

Overview of the Role

The Assistant Staff Officer will assist the Adult Education Officer in the provision of an efficient, responsive and confidential service to adult learners. The Assistant Staff Officer will support the wider Adult Education Team to undertake specific actions to achieve DDLETB’s FET Strategic targets under the National Further Education & Training Strategy

Salary Scale

€37,217 p.a. - €50,207 p.a.

Long service Increment 1, € 45,335 after three years satisfactory service at the maximum.

Long Service Increment 2, € 51,733 after three years satisfactory service at LSI 1 53,301

New appointees to any grade start at the minimum point of the scale. Incremental credit is normally granted on appointment, in respect of current experience in the Civil Service, Local Authorities, Health Service and other Public Service Bodies and Statutory Agencies.

Annual Leave

23 working days per annum (pro-rata).

Working Week

35 hours per week (exclusive of one hour lunch)

Probation

In accordance with S.I. No. 686/2022 - European Union (Transparent and Predictable Working Conditions) Regulations 2022, the period of probation shall not exceed 12 months.

Superannuation

Membership of the ETB Superannuation Scheme and of the ETB’s Spouses and Children’s Scheme is automatic and compulsory.

Job Objectives

Duties and Responsibilities:

  • Provide efficient and confidential administrative support to the AEO and Adult Education Team as required.
  • Work with the Adult Education Team to develop and implement general administrative systems, policies and procedures.
  • Carry out general administrative duties such as word processing, data input, filing, photocopying etc.
  • Deal with information requests and queries made via telephone, email, or face-to-face.
  • Process up to date orders and invoicing on computerised accounts system (P2P)
  • Maintain student databases to assist the AEO and wider Adult Education Team to make timely returns to SOLAS (PLSS)
  • Liaise with DDLETB Head Office and AES staff, centres and other relevant agencies and committees for administrative purposes
  • Monitor the completion of part time tutor pay claims (PTTCF)
  • Organise provision of hospitality for centre events, visitors to centre, etc.
  • Carry out the lawful orders of the Dunlin Dun Laoghaire Education and Training Board and that of its Chief Executive.
  • To carry out any other duties appropriate to the grade which may be assigned from time to time by the Adult Education Officer.
Skills Requirement

Essential Qualifications and Skills

  • Must hold at least Grade D3 in 5 subjects in the Leaving Certificate Examination or equivalent or have passed an examination at the appropriate level within the QQI qualifications framework (Level 4/5).
  • Have excellent administrative skills and telephone manner. 
  • Excellent IT skills/ high proficient in MS Office suite.
  • Excellent organisational, communication and interpersonal skills
  • An effective team player, flexible and reliable. 
  • Ability to work under pressure and keep to deadlines. 
  • At least one to two year’s administrative experience in a modern office environment would be desirable.
