We are looking for an experienced Administrator to join our Pre-Construction team in Kill, Co. Kildare. 

This is a permanent, full-time position with some hybrid working options. 

Your mission
  • Prequalification Process: Assist with prequalification process, ensuring that all required documentation is gathered and organized in a timely manner
  • Document Management: Organize and maintain project documentation
  • Communication Support: Facilitate communication between the preconstruction team and other departments or external partners.
  • Project Tracking: Maintain project tracking systems to monitor timelines, deliverables, and deadlines.
  • Data Entry and Management: Input and update project data in relevant systems such as CRM.
  • Team Support: Provide general administrative support to the preconstruction team
  • File Organization: Establish and maintain a filing system for all project-related documents for easy retrieval and reference.
Who are we looking for?
  • Experience: 3+ years Administration experience, construction industry experience would be an advantage.
  • Organizational Skills: Ability to manage and prioritize multiple tasks, documents, and deadlines effectively.
  • Attention to Detail: High level of accuracy in preparing documents, contracts, and schedules.
  • Communication Skills: Strong verbal and written communication for interacting with internal teams and external partners.
  • Time Management: Ability to manage time efficiently, prioritize tasks, and meet deadlines.
  • Proficiency in Office Software: Expertise in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, SharePoint)
  • Document Management: Knowledge of document control systems and best practices for filing, tracking, and organizing project documents.
  • Multitasking: Ability to handle multiple tasks and responsibilities simultaneously
  • Problem-Solving Skills: Proactive in identifying potential issues and offering solutions in a fast-paced environment.
  • Team Collaboration: Ability to work effectively as part of a team and support multiple team members with various needs.
  • Data Entry Skills: Accuracy in entering and maintaining project-related data in databases or spreadsheets.
  • Confidentiality and Discretion: Ability to handle sensitive information with confidentiality and professionalism.
  • Adaptability: Willingness to adapt to changing tasks, responsibilities, and project requirements.
  • Flexibility: Willingness to adapt to changing schedules and work outside of standard office hours when needed to meet project deadlines
