Administrative Officer

There are currently six permanent, full-time vacancies. It is also intended to create a reserve list from this competition that will be used should other vacancies with similar duties and responsibilities arise within the Board at this level during the next year. Direct recruits of the Board are employed under NICS terms & conditions but are not members of the Civil Service. Direct recruits enjoy the same terms & conditions as civil servants with the exception of movement across the wider NICS by way of access to NICS promotion boards, trawls, interest circulars or transfer.

LOCATION The successful applicants will be based at the Board’s offices in the Gasworks Complex on the Lower Ormeau Road (James House). It is envisaged that some element of home working and / or remote working may be possible in line with the Board’s Hybrid Working policy and business need.

SALARY Salary will be within the range £24,225 - £25,732 within which pay progression will be performance related. Starting salary will be at the minimum of the scale. If the successful candidate is an existing civil servant, normal pay on promotion/re-grading arrangements will apply.

TRAVEL In order to support the work of the Board, some travel throughout Northern Ireland may be required. The successful applicant should therefore have access to a form of transport that will enable them to complete the requirements of the job in full.

HOURS OF WORK The normal hours of work are 37 hours per week, however there may be the requirement to work outside of these normal hours. The job requires a considerable degree of commitment, flexibility and adaptability on the part of the post holder to meet quality standards and work deadlines. The successful applicant will maintain at all times such availability, flexibility and mobility as is necessary to the pursuance of the job. KEY RESPONSIBILITIES The main responsibilities of the posts are to provide administrative support in various Branches across the Policing Board. The specific duties you undertake will vary depending on which Branch you are appointed to. You will be expected to deliver services using modern technology. Administrative Officers, have to be able to cope with pressures faced in a busy work environment. You will need to be a good communicator, a good team player and be able to work accurately, while managing your time efficiently.

We’re looking for people who can: • Communicate well both orally (face to face or by telephone) and in writing with a diverse range of people, providing advice and explaining policies, procedures and decisions taken; • Handle complex and potentially challenging situations with members of the public and key stakeholders, by telephone, face to face, in writing, and/or using other digital methods; • Research, understand and interpret potentially complex information to make decisions and recommendations in a timely manner. and • Use a range of computer systems to action tasks and deal with telephone queries.

As an Administrative Officer your role may include: • Processing of invoices and maintenance of spreadsheets. • Providing support in the compilation of reports for management and/or Committees of the Board. • Manual filing to include lifting boxes/retrieving hard files when required. • Setting up rooms for meetings. • Acknowledging correspondence, photocopying, and scanning documents. • Engaging with members of the public and key stakeholders including external contractors/suppliers. • Attending meetings to support the Branch Head
