The admin team at DWF are hiring an Administrative Assistant to join the team in Dublin. Your role will support the operational and administrative functioning of the Central Services Team, whilst learning and developing the key skills related to the role. You will work closely with all personnel based in the Dublin office and will also have interaction with external clients and service providers.

Due to the nature of this role, the successful candidate will be required to be in the office full-time.

Responsibilities

  • Room bookings: Ensuring that all rooms are booked for meetings with the relevant client support team with the appropriate facilities provided via direction from the team. 
  • Document production: Producing documents via direction from the team, ensuring that the correct software is dependent on the intended use and documents are produced to a high standard. 
  • Arranging meetings both internally and externally via direction from the team. 
  • Photocopying and scanning documents as and when required. 
  • Taking telephone messages. 
  • Inbox management via the direction of the owner. 
  • Keeping all stationery items up to date. 
  • File management: Archiving, and housekeeping of files using various systems. 
  • Photocopying and scanning documents.
  • Dealing with incoming/ outgoing post. 
  • Supporting the organisation of team projects as and when required. 
  • Assisting PAs and Executive Assistants as and when required. 
  • Following the Firm's policies and procedures at all times. 
  • Ensuring confidentiality is maintained at all times. 

What will help you succeed in this role?

  • At least one year’s administrative training and experience within a similar environment. 
  • Basic IT and keyboard skills with knowledge of Word, Excel, and PowerPoint. 
  • Attention to detail – ensuring all work and documents are produced to a high standard. 
  • Knowledge of relevant document management systems. 
  • Good administration / organisational skills. 
  • Ability to work to set deadlines and service levels. 
  • A good team spirit with proven teamwork skills. 
  • Excellent communication skills.
